Every month, someone was manually pulling financial data into a Google Sheet, rebuilding visuals from scratch, and hoping nothing broke before the Board meeting.

This process was slow, error-prone, and exhausting — and it left no room for anything better.

The Strategy

  • What looked like a reporting inefficiency was actually a systems failure. The organization didn't need a better spreadsheet — they needed a process that didn't require manual intervention every single month. Identifying that distinction was the first and most important step.

    From there, I redesigned the reporting experience itself — mapping data across structured tabs and adding dropdown controls that let leadership instantly toggle between reporting periods and view up to three years of historical data on demand.

    The goal wasn't just saving time. It was building something leadership could actually use to make decisions.

  • I connected QuickBooks Online directly to Google Sheets using G-Accon, creating a live data pipeline between the accounting system and the reporting environment. Once month-end close was complete, data synced automatically — no exporting, no copying, no reformatting.

  • The old process required someone to manually update the file every month before anything else could happen. That step no longer exists. The system does it automatically, freeing the team to focus on analysis and decision-making instead of data maintenance.

  • Rather than dumping all data into a single sheet, I restructured the file across multiple tabs — each serving a specific purpose. This created a cleaner, more scalable foundation that could support additional reporting layers without breaking down.

  • I added user-friendly dropdown menus that let leadership select and switch between reporting periods instantly — no formulas to touch, no manual adjustments. The report updates dynamically based on whatever period they select.

  • Leadership can now pull up to three years of historical financial data instantly — a capability that simply didn't exist before. This gives them the context to spot trends, compare performance across periods, and make more informed decisions at the Board level.

  • Automation alone isn't enough if the system is too complex to use. Every decision — from tab structure to dropdown design — was made with the end user in mind. The goal was a reporting system leadership could navigate confidently without needing finance expertise to operate it.

The reporting process shifted from maintenance-focused to strategy-focused.
